Position Role: Provide assistance within both Cumberland & Macarthur Districts by planning, organising and coordinating administration of the districts human resources, financial management. Budget, records and purchasing needs. Liaise with staff at all levels and volunteer members of the NSW RFS.

  • Coordinate a full range of administrative and clerical support to the team, including coordinating tasks, maintaining registers/databases, and establishing and maintaining administrative processes to contribute to the smooth running of activities.
  • Provide financial / purchasing assistance to the team, including obtaining quotes, raising purchase orders, goods receipting, and amending requisitions as needed, in SAP and Coupa and provide financial reports to the District Manager, as required.
  • Coordinate office systems, procedures and organisational methods to improve office efficiency in accordance with policies, procedures and standards.
  • Respond to incoming enquiries (over the phone, email or face to face), providing information and referring enquiries in a professional, effective and responsive manner to achieve an appropriate and positive customer experience.
  • Provide accurate word processing and other support including, proof reading, drafting and preparing correspondence, developing and maintaining spreadsheets, developing and reviewing content on OneRFS and Cumberland/Macarthur Members Group & Cumberland/Macarthur Women’s Support Forum Facebook pages, and extract information from internal systems to support the achievement of team objectives.
  • Coordinate meetings including prepare agendas, organising venues and catering and distributing minutes to support the effectiveness of the team’s meeting/committees.
  • Maintain the computerised records management system and create, store, retrieve and archive files to ensure the accurate and safe storage of information and contribute to timely response for information.
  • Intermediate/Advanced working knowledge of HPE CM and maintain both districts folders.
  • Assist in the development of projects relating to the work of the team so the projects outcomes are achieved and material is accurate and recorded.
  • Liaise with 6 councils in the organisation of events and meetings.
  • Use the Incident Control System (ICON) during incidents to view and prepare SitReps, attached documents and enter data into the Incident Log.
  • Working knowledge of RFS ACTIV
  • Assist vendors with using Q2C and approving information as required
  • Mentor and instruct staff in the above activities when needed so that the effective and efficient processing of office practices are administered.
  • When needed, participate in activities to protect the community from fire and similar incidents within the scope of the qualifications held.

Achievements:

  • Deployed in July 2024 to British Columba, Canada as part of a multiagency team to provide Incident Management Team assistance.
  • Part of the Logistics 2 & 3 Training Team.
  • Part of the Emergency Logistic Solutions (ELS) Training Team, ELS Subject Matter Expert.
  • Studying a Certificate IV in Human Resource Management through NSW TAFE (Online).
  • Deployed to WA as part of a team to provide incident management assistance – February 2022
  • HPE CM subject matter expert for the Cumberland & Macarthur District Offices.
