Engineering Administrator

  • I process customer purchase orders and put them into our IT system (M1) for further work.
  • Incl. Sending relevant messages/emails to others throughout the company if the work relates to them and to advise them when the works are going into the system.
  • I price-check check purchase order sum with the supplied quote and communicate with the relevant individuals to rectify.
  • I fully plan the jobs before they go onto the workshop floor, this planning includes:
  • Review all drawings and update the required job operations to suit so that the workshop can quickly and efficiently begin work without confusion.
  • From the drawings and discussion with the workshop supervisor, I identified what materials would be needed to complete the work.
  • After the materials are known I source quotations for the relevant raw material or outsourcing works and once a quote has been selected I raise a purchase order for the supplier and organize for a material delivery.
  • Once the works have been fully planned and materials ordered, I organise the job folder with all relevant documentation including required works, relevant drawings, and safety documentation.
  • I liaise with the supplier to keep up to date with the material's lead time and stay on top of any problems or delays so that the work can run on schedule.
  • I am in contact with the customers and keep them updated on the current status and lead times for their requested works.
  • I review invoices and compare them to the raised purchase orders and quotes to identify discrepancies and contact the suppliers to get any issues rectified.
  • I manage stock levels and keep up to date on stocked material for jobs, if material can be used from stores instead of ordering it, this reduces job costs. I also check when deliveries arrive that the correct material is present.
  • I attended weekly meetings to advise others in the company what the status of all current jobs, including material lead time, work status, and required completion time.
  • I regularly review the current status of all works to keep track of where all the current jobs are up to and I make sure that whatever they need to keep progressing is obtained.
  • I liaise with our warehouse manager for when and where deliveries to the site are required or if material needs to be picked up from suppliers.

  • Managed and directed weekly meetings between site supervisors to keep everyone up to

date on the status of ongoing projects and to reallocated resources required.

  • Covered for the Operations Manger when they were not available, cohesively

documenting and relaying information to them upon their return.
