General Administrative Duties
· Ensuring accurate record-keeping, diligently updating the relevant records with client details (employer and employees).
· Ensuring consistent follow-ups for relevant documents, to-be-signed agreements, and outstanding enquiries.
· Managing delivery of stationary and office supplies to ensure the workflow of lawyers and other office staff was not disrupted.
· Handling incoming calls professionally, directing inquiries to appropriate personnel, or making the necessary arrangements for a new consultation.
· Keeping record of current and outstanding enquiries
· Maintenance of ongoing matters hard files and electronic copies kept up to date, emails renamed and saved to the correct matter, attachments extracted and saved using the correct naming convention
Court Preparation
· Organising and coordinating the printing and delivery of court books
· The in-person filing of appeals or applications that exceed capacity for digital filing
- The confirmation of attendee details for upcoming court appearances
· The coordination of meetings with Barristers, Clients, Solicitors and Interpreters (if applicable) ahead of court appearances, filing dates, or in general
Accounts
· Assisting with invoicing and receipting clients
· Management of Cost Agreements for clients
· Assisting with providing updated fee estimates to clients
· Assisting with compilation of Trust Authorities (hard copies) for yearly review undertaken by the Queensland Law Society
Client Engagement
· Management of new enquiries and client onboarding
Client General
· Scheduling appointments with clients upon request of client or lawyers
· Providing clients with matter updates
· Checking in with clients in preparation for upcoming court dates/ appearances, to ensure they are aware of their attendance and requirements
Calendar Management
· Court Dates and key client dates added to the relevant solicitor’s calendar and court reminder diary (e.g. filing dates, WP offer dates etc)
· Reminding solicitors of upcoming appointments
Email management
· Saving emails inbox/outbox to the relevant matter
Insurance
· Undertaking the bi-monthly Lexon Enhanced Management Review (EMR) for practicing solicitors
