EA to the District Director of Nursing and Midwifery Northern NSW LHD Nursing and Midwifery. Delivering a comprehensive administration service to ensure the efficient and effective organisation and management of the NNSWLHD Nursing and Midwifery Service. Provide comprehensive administrative and secretarial services through the arrangement of meetings, copying and collation of high level documents, preparation and distribution of agendas and related documents, minute taking, diary management and correspondence tracking. Manage internal and external communication to establish and maintain strong relationships and information sharing with key stakeholders. Proactively manage accommodation, travel, functions and catering arrangements in the directorate to enable the required travel and functions to progress smoothly. Preparation of correspondence, high level briefs, ministerials and business cases. Provide efficient and timely input into HR relation systems (Stafflink, HealthRoster, ROB) finance and procurement systems to facilitate accurate outcomes. Contribute to the development and implementation of corporate policies, procedures and practices. Work autonomously to assist with day-to-day decisions that relate to the functioning of services. Provide professional supervision and support to administrative staff in the directorate. Manager to the Candidate Experience Team - responsible for creating a positive experience for overseas candidates through all stages of attraction, recruitment and onboarding during their recruitment to the NNSWLHD team. Strong project coordination experience in the NNSW Disaster and State HSFAC experience particularly during the recent flood events, bushfire and COVID outbreak.
Overseeing the operational delivery of administration services to facilitate the overall effective and efficient operation of each hospital / facility in the Tweed Byron Network. Undertake performance reviews and provide education and professional development opportunities to continuously improve the standard of services, and coach and develop team members to ensure services are provided within agreed timeframes and meet expected standards. Provide comprehensive secretariat, administrative and clerical support services, managing work priorities, complex tasks and workflow within allocated resources to ensure delivery of timely, efficient and effective services. Participate in the development, maintenance and review of department systems, procedures and evaluate new methods to continuously improve service efficiency. Support and participate in the administrative aspects of activities such as Quality Accreditation, Work Health and Safety, and Incident Management processes to assist in the fulfillment of unit/ward requirements. Manage a range of diverse and complex functions, applying independent decision making across a number of areas. Provide review of operations to deliver high level and proactive support to the team/unit/senior manager. This was a newly created position to assist the Nursing Unit Managers with their clerical and administration responsibilities. I was employed to assist the Nursing Unit Managers across three clinical units (Surgical, Orthopaedics and Paediatrics) therefore I have been able to call on my already established time management and office support skills. Key responsibilities: Produce published documents using MS Office 365, Powerchart and PAS to track patients using NPWT rental equipment and liaise with community nurses. Use of Manager Self Service in Stafflink to create temporary contracts, complete separations, run reports on staff leave accrual, excessive annual leave and sick leave etc. Enter Recruitment in ROB and follow through the processes assisting NUMs. Previously eRecruit. Organise interviews. Conduct reference checks and all other checks as per new Recruitment Policy. Have trained in panel membership in HETI and served on several interview panels. Typing, data entry and data analysis. Procurement of hospital equipment/supplies using iProcurement in Stafflink. Access IIM’s Data Manager to collate data and produce monthly KPI’s and assist NUMs in entering their management of IIMs. Enter monthly rosters for three clinical units using Healthroster. Making adjustments and running reports. Organise individual patient rentals of NPWT pumps for the Tweed/Byron Valley. Managing diaries and scheduling of meetings. Scheduling staff education and staff appraisals using HETI and Microsoft Outlook. Preparation of meeting papers for clinical unit meetings. Liaise with higher level hospital administration for “Quality” and “WH&S” reporting and Clinical Governance relating to the National Standards. Record management in MS Excel to collect data and keep records of staff training and appraisals. Prepare monthly finance reports for Clinical Governance meetings. Using Qlikview Finance and Workforce Programs to collect and collate the data. Assist is preparation for NUMs “Please Explain” for Nursing Hours and FTE. Record Night Duty & ADOs in spreadsheets and on paper form as per “Rostering Ways of Working” Best Practice. Conduct documentation audits in the patient medical records monthly. Work closely with Clinical Nurse Educators to create Learning Packages and new Policies and Guidelines.
