  • Provided high level administration support to the Director of Gastroenterology, GHLT Medical Officers and Nursing staff.
  • Managed an electronic dairy of meetings and appointments for the Director by prioritising request for appointments/meetings.
  • Responsible for the day-to-day operation and function of the Gastroenterology service with the ability to exercise judgement in processing urgent and non urgent tasks.
  • Provide quality staff focused rostering and workforce management support services (including the planning, creation, and maintenance of rosters) to the Gastroenterology Clinical Team to ensure optimum workforce deployment.
  • Creates weekly department schedules/rosters alongside the Director and allocates all medical staff (Consultants, Fellows, Registrars and Residents) to clinics, theatre, referrals, admin time and meetings depending on the operational needs for the week.
  • First point of reference for any HR or payroll queries, complaints, or other queries within the Medical Gastroenterology Department.
  • Responsible for ensuring AVACs are submitted by end of fortnight cut off for all Medical Staff within Gastroenterology.
  • Demonstrates initiative in supporting Doctors and the Director in adopting new and changing business processes in an environment of continuous improvement.
  • Manage and process through MyHR all leave request for the Gastroenterology doctors, including (recreation leave, sick leave, professional development, carers, bereavement leave ect).
  • Coordinate and support recruitment activities through the management of vacancies, timely checking and processing of paperwork, interview appointments and travel arrangements.

Administration Relief Pool Support Officer (AO4)

  • Assisting with the ongoing development, review, audit and maintenance of data to support effective, accurate and on-time reports for management and executive for budgetary planning and business improvement.

  • Ability to work autonomously, utilising discretion in the absence of the Relief Pool Manager by establishing work priorities, achieving work targets, contributing to team goals in a changing environment and solve immediate problems in situations where precedents have not been set and procedures not defined.
  • Backfill for the Relief Pool Manager by learning and maintaining current knowledge of all facets of the role and including liaising with relief pool staff, divisional leads and stakeholders to ensure business as usual
