My time in the industry has been predominantly Import / Export Documentation, Customer Service, I am however wanting to expand this, and I am very much looking forward to a change.

Export Documentation Coordinator

  • Part of a four-member documentation Team located in Sydney Office, that oversaw the processing, issuance and collation of Import and Export Documentation, as well as maintained customer contact.
  • Key responsibilities
  • Entering and Processing Forwarding Instructions for Export Shipments, with issuance of draft Bills of Lading and Tax Invoices for cross-checking.
  • Chasing Shippers for outstanding Forwarding Instructions to ensure Bills of Lading were manifested on time.
  • Manifest reconciliation for each vessel to ensure no discrepancies
  • Internal communications with Customs Department to ensure that manifests were closed and manifests lodged with Customs with no issue.
  • Answering phone calls and emails related to any Export queries
  • Responsible for collecting funds covering Export Shipments before final Export Bills of Lading can be issued.
  • Customer contact consistently maintained with Vessel Consortium with operators that included RCL, COSCO, MOL and NYK.

Import Documentation Coordinator

  • Part of a four-member documentation Team located in Sydney office, that oversaw the issuance of Import Documentation for Sydney, Port Kembla and Newcastle, as well as assisting with processing Export Documentation.
  • Key responsibilities
  • Coordinate manifest availability with NDC (National Documentation Centre) Team located in Brisbane (NDC relocated and presently operates from the Sydney Office.)
  • Issuance of Import Documentation in a timely manner, which consisted of Arrival Notices, Tax Invoices & Delivery Orders
  • Issuance of Cargo Manifests to individual discharge ports
  • Issuance of necessary Port Authority Manifest to the Port Authorities (E.g.: NSW Ports, Darwin Ports, Port of Brisbane, Port of Melbourne)
  • Responsible for collecting funds of shipments into key ports which included Sydney, Port Kembla & Newcastle.
  • Responsible for checking Long Stay containers at port of discharge terminals
  • Assisted with Customer related queries and requests – Queries and requests received through phone call or emails

Import Documentation Supervisor / Customer Success Supervisor

  • To supervise and lead the Import team, in order to ensure all documentation requirements are met for our customers and Government authorities. To ensure procedures are followed in all aspects of the documentation processes thereby providing highest level of service to external and internal customers.
  • Key responsibilities
  • Ensure all Australian Customs Service import reporting requirements are met in accordance with Australian Government legislation.
  • Ensure reconciliation of Port of Load manifests were completed with vessel edi, and check for any discrepancies.
  • Quarantine Lodgement of containers loaded from GAS (Giant African Snail) affect countries.
  • Supervision of Import team on a daily basis, and ensure the team monitor vessel/voyage schedules to ensure import manifests are received within agreed timeframes from origin offices.
  • Monitor activities of the import documentation team and always ensured adequate resources, and work with Import Team to achieve department KPI’s and goals.
  • Assist in the ongoing training and development of current and new NDC Import team members.

  • Monitor and manage the end-to-end shipment process
  • Assist customers with any queries, issues, disputes.
  • Ensure timely resolution of support, queries, issues, disputes.
  • Work closely with the Global Shared Services team located in India regarding affiliated offshore processes.
  • Maintain Customs lodgement requirements and ensure all manifests are processed within set timeframes
