  • Engaged to Manage & Coordinate: all bookings for creative performances in schools/churches/community events with a high level of detail e.g event bookings arranged in 2019: 1025, 2022: 623; 2023: 767; 2024: 825. Processing email and phone enquiries; Processing and assigning permanent and volunteer performers through email, text and Google Calendar with show details and reminders to all stakeholders.
  • Tour Coordination: In collaboration with the General Manager and Creative Director, creation of annual calendar events to include peak seasons shows and the schedule of tours; Being responsible for every logistical aspect to include travel options, transportation of equipment, and accommodation. Communicating with all stakeholders (performers, local contact, school contacts etc) to create detailed itineraries for each tour
  • Adhere to legal matters: Check and instigate all compliance and supportive documentation for performers to enter schools in all states to include WWCC, Blue Card, Police Check, Mandatory Training, SRE Accreditation, Safe Ministry Certificate, BTS Training
  • Office Administration: Primary office administrator responsible for a range of functions to include, being the first point of contact, answering phones, emails and greeting visitors; Actively contributing to and updating contact databases; Invoicing; second signatory for all banking transactions; written communication to external/internal stakeholders, including reports
  • Staff Task Management: Taking minutes at all staff meetings, indicating any tasks assigned, and emailing to all staff; being aware of scheduling issues, to raise reminders to staff, and to help minimise clashes; When the General Manager is unavailable, or deem unnecessary to involve him, making decisions regarding other staff members' priorities, and helping keep them on track.
  • Responsible for managing workflow of all staff members employed to assist bookings and general office administration to include training, assigning tasks and developing good systems between various staff members to ensure clear communication throughout the organisation
  • Maintaining Show Records: Maintaining accurate data management and record keeping of all shows performed within the DGR (Deductible Gift Recipients) list; Maintaining and updating the database with details regarding shows, show contacts etc
  • Project Coordination: Along with the Creative Director, responsible for coordinating Quiz Worx creative projects from ideation to completion, managing people and processes to deliver projects on time with desired outcomes aligned to objectives
  • Stakeholder Engagement at Events: representing Quiz Worx at certain in-person events in order to engage with stakeholders (e.g. SMBC Children’s Ministry Training Day, Youthworks SRE Conference, Reach Australia Conference etc & joining the Creative Director on training tours, where there are greater opportunities for stakeholder engagement (e.g. RI Training Tours to FNQ).
  • Represent the organisation with tact, confidentiality and diplomacy when communicating with staff, clients, donors and suppliers
