General reception duties
- Manage phone calls, emails, client appointments, and office calendar/diary
- Assist clients with enquiries, document drop-offs, and collections.

- Support workflow processes, client reminders, and annual review schedules.
- Scanning, filing, and uploading documents to client files or practice management system, preparing, compiling and sending documents to clients for review and signature
- Client onboarding, maintain databases, and monitor workflow tracking systems
- Design and improve office forms, templates, and processes for efficiency.
- Prepare client jobs, invoices, engagement letters, and meeting documentation including e-signatures.
- Liaise with ATO, ASIC, and other bodies for lodgements, registrations, and compliance, maintaining accurate records.
Administration Manager/Office Manager role and responsibilities
- Train, assist, and oversee the administration team, delegating tasks and monitoring progress and generating reports to support firm operations
- Manage and resolve client complaints with professionalism, demonstrating empathy and clear communication to achieve positive outcomes
- Oversee the firm's internal accounts payable/receivable, daily bank reconciliations, trust accounts, and Xero payroll processing for 8 employees, including Super Guarantee lodgements
- Support accountants with reporting, and workflow tracking
- Assist the Practice Manager in managing accounting/bookkeeping workflows to meet deadlines.
- Act as step-in Practice Manager during absences, providing staff support and problem-solving.
- Led the implementation of Xero Accounting Software and Xero Practice Manager (2022) and provide ongoing staff support.
- Train new staff in Xero Practice Manager and other business programs to ensure smooth onboarding and consistent standards.
