This role requires me to filter and organise the Branch Manager’s inbox to help prioritise specific work and expedite daily operations
This includes organising the calendar weeks in advance ensuring there are not any major meeting clashes, and managing meeting requests with both internal and external people
On a daily basis, I maintain confident and protected business operations practices by keeping sensitive information confidential when handling Serious Criminal Convictions briefs
This involves coordinating with the Branch teams and the Group Executive team to ensure all briefs are completed securely and in a timely manner
I organise branch events such as wellbeing activities and weekly branch meetings
I work with other Executive Assistants within the team to organise events for the entire group
I also work with them to learn new things
I work closely with the Serious Criminal Convictions team and take on broader Administration tasks to expand my knowledge of the workings within my group and gain experience with multiple DSS systems other Executive Assistants may not be familiar with
In this role, I also format, edit and create documents with Microsoft Office products to follow specific corporate style guides, including drafting written external correspondence to Departmental standards
I ensure accurate financial recordkeeping through following the Government purchasing requirements and acquitting all purchases through the Expense 8 system
I have a working knowledge of DSS systems such as CaseManager, CRM, KiteWorks, Arc, PDMS, and the National Redress Scheme Helpdesk
Lastly, I manage logistics for events such as conferences, external meetings, and team planning days regarding transportation, catering, and audio-visual arrangement.
