Preparation of each patient file – Includes checking that all information belongs to the right patient, checking that the information belongs within the correct admission date and discharge date, tidy up the file by cutting off any loose tape etc, arranging the file by grouping together the different form types and put into time and date order.
Scanning – Making sure that when creating a batch you choose the correct file type, write the correct date and time, delete any blank pages once scanned.
Quality Control – Checking everything within the batch which includes correct patient labels, names, dates, make sure all pages have been scanned, no lines, making sure different form types have been split on the screen into their own document books, making sure that the documents have been put into time and date order and quality of forms are good.
Validation – finalising the file, checking patient visit ID’s for the right admission, going through and putting the correct form type for each document book, checking that the codes on the screen and the forms match, making sure one last time that all pages in the file are correct and nothing was missed, check all names and MRN’s, check the forms are in time and date order. Once finished and the file is complete then close the batch, go onto IPM on Cerner and dispatch the file, once that is done put out into filing rooms.
