Responsibilities:

  • Providing comprehensive clerical and administrative support to the Orthopaedic Surgical Liaison nurses and the Orthopaedic Surgical team from within the Planned Surgery Access Unit.
  • Proficient use of the following software systems: CPF, i.PM, EMR, Microsoft 365 Sharepoint Applications and Outlook, PRODA, FMIS, BEIMS, CRM (VicKey) and Modica messaging service.
  • Timely processing and accurate data entry of ‘Requests for Admission' from various sources, internal and external, taking care that all relevant documentation is completed and submitted as per organisational policies.
  • Booking of urgent and non-urgent surgical procedure appointments at all Eastern Health surgical sites, as per Liaison Nurses and Specialist team requests (not limited to the Orthopaedic unit) with a continual focus on customer satisfaction.
  • Utilisation of strong time management skills to ensure the accurate completion of all facets of each appointment within the appropriate timeframe (including, but not limited to: Interpreter bookings, ICU bed booking, patient contact and provision of appointment information and professionally managing any enquiries regarding procedure appointments, while maintaining strict privacy protocols).
  • Providing exceptional communication to other departments involved in surgical patient care (including, but not limited to: Surgical admissions, theatre, preadmission clinic)
  • Maintaining of office equipment and office stationery stock levels.
  • Processing mail efficiently, ensuring that all correspondence is distributed to the intended recipients in a timely manner.
