Provide confidential administrative support, including, but not limited to, partial inbox and diary management, calendars, tasks and group meetings. Assist with presentation materials and collating reports. Filing, preparation, collation and distribution of documents/ correspondence
· Schedule and co-ordinate both internal and external meetings.
· Assist in forward planning to provide relevant preparation material/ pre-brief for meetings
· Ensure weekly/ monthly/ quarterly reporting is prepared and lodged within deadlines
· Co-ordinate VIP and general visits for the line manager including logistics of meeting rooms, presentations, listening forums, site access and catering as required
· Complete monthly expenses in line with Company policy, payment of invoices as required and raising Purchase Requisitions
· Maintain email distribution group lists
· Provide cover for sick leave and annual leave when required within the Function/ Program
Coordinate meetings, inclusive of meeting logistics, catering, minute taking, recording actions and maintaining meeting agendas
· Raise purchase orders, process payment of invoices and reconcile credit card expenses in line with company policy
· Order office supplies, consumables and stationery as required
· Prepare correspondence on behalf of manager and/ or team leads
· Effective stakeholder engagement and maintenance of positive relationships
· Assist with the on-boarding and induction of new staff members
· Maintain confidentiality at all times
· Provide cover for periods of leave for other administrative team members within the organisation as required
