COORDINATOR – School Area Assessment

  • Providing high level support to the Project Manager with the establishment and rollout of the School Crossing Risk Assessment Framework (SCRAF) Application, by working closely with internal and external stakeholders to successfully manage the statewide scheduling of multiple pilot sites
  • Ongoing collaboration with councils, schools, DTP staff, and others to ensure accurate site information, scheduling, and mapping is communicated timely, to support the rollout of the SCRAF program
  • Supported development and implementation of the Interactive Voice response (IVR) for the SCRAF program.

ROAD SMART COORDINATOR

  • Coordinate delivery of the road safety program “Road Smart” within MNW Region in addition to supporting the delivery statewide to meet KPI’s
  • Established and cultivated strong and reliable relationships with schools, Road Smart facilitators and coordinators directly resulting in their continued positive involvement and participation in the Road Smart program
  • Provided ongoing support and development of regional coordinators both with daily management and their reporting requirements
  • Managed scheduling and bookings of Road Smart sessions across MNW Secondary schools, ensuring there were resources to cover the number of sessions for each booking
  • This included the allocation of RS facilitators across the state to ensure sessions were resourced
  • Successfully supported the transition from the Keys Please program to the introduction of Road Smart
  • Showing further adaptability and working collaboratively as a team to convert to an online delivery model as a result due to COVID 19 shutdowns
  • This enabled the Road Smart program to continue to deliver during lockdown
  • Development of Guidelines and Process documents to empower our delivery partners, also ensuring delivery consistency across the state.

Accomplishments

  • PROJECT MANAGEMENT
  • Successfully developed processes to ensure key stakeholders (DTP Engineers, Local Government Engineers & School Crossing Coordinators, and Project team) participated in the pilot and testing components of the SCRAF program.
  • Developed a schedule for council to participate in onsite observation and training of the SCRAF. Participation in this program exceed expectations with 15 councils participating across metro Melb and rural Victoria.
  • Managed the scheduling of traffic survey cameras at over 100 sites statewide, collating and analysing the data used to inform the selection of future pilot sites.
  • Discussed and obtained brief requirements, researched, identified, and collaborated with the internal service providers to establish the Interactive Voice Response (IVR) phone system, now operational, as the SCRAF App support line for users on site. Provided input for the IVR call flow and sent to the provider to create. Reviewed and tested IVR system, ensuring quality control of system.
  • On obtaining the brief, I researched and provided advice to support and establish a SCRAF Web page, with continual collaboration with internal stakeholders (Transport & Digital Technology) resulting in it now being hosted on the DTP Website. Continually coordinated the development of the web content for the SCRAF Webpage.
  • Scheduling of weekly pre site briefings with council staff, monitoring LGA attendance ensuring all participants are provided relevant information to support their participation at site visits.
  • Monitoring and maintain accurate records of participants responses and attendance.
  • Scheduling of over 60 successful site visits, including 19 as part of the soft launch, with 100% attendance of participating LGAs.
  • Actively participated in “whiteboarding’ sessions with the Project team.
  • STAKEHOLDER ENGAGEMENT/RELATIONSHIPS
  • Established and maintained a high level of stakeholder engagement, building, and maintaining effective relationships between the Project team, DTP Engineers, Coordinators, Local government Engineers and Coordinators to influence participation and enthusiastic involvement in the pilot.
  • Engaging with school, confirming start and finish times, along with any potential block dates to effectively schedule site visits to maximise availability and meet timeline.
  • Worked closely with Environmental Systems Research Institute, Inc. (ESRI) project staff, actively participated in extensive, ongoing training in the use of ArcGIS applications, that I participated in ongoing trialling and testing of the applications and are fluent in understanding and using the applications to assign users to sites, and complete required changes to Site, Stages & Legs as identified at site visits ensuring I could provide support to stakeholders whilst on site via the “SCRAF Help Line”.

  • Monitored and created Purchase Orders as required, maintaining accurate records to provide reporting information as required.
  • Created and maintained process to capture vital information and monitored to ensure the success of site visits, including contact lists, school timetables and attendee responses.

  • Mentored a new team member on secondment, following their traineeship with DTP, by developing a training plan and providing support and guidance. They went on to successfully secure a VPS4 role on the completion of the secondment with our team.
