National Credit Manager

Purpose: With a team of 7 direct reports, this role manages approx. 5000 active accounts, with a ledger value of approx. $60Mil per month. Working with 44 branches and the management team, across numerous businesses within the G.James group, my goals were to introduce new processes and technological solutions to improve efficiencies within the credit department. Using both the tools and resources on hand, where possible, to ensure that all change is not a costly exercise to the business. Work with the business to improve relationships with internal and external stakeholders. Aiming to improve efficiency, cash flow and reduce risk.


Primary Responsibilities:

  • ·Managing 7 immediate reports to effectively manage the collection and continual risk assessment of customers domestically and internationally.
  • Utilising credit insurance for export accounts and NCI for recommendations on Australian businesses.
  • Standard credit assessment criteria enforced.
  • Manage legal accounts with the help of an inhouse solicitor.
  • Process improvements included banking improvements saving the team 14 hours per day, as a combined total.
  • Introduced an online ‘Service Now’ form, for ease of use to the business when requesting project approvals.
  • Improved reporting tools by through the roll out of dashboards, for overdue debtors, disputes, held orders, accounts on hold or due to be placed on hold.
  • Introduced online credit applications. All changes have improved our time efficiencies.
  • Moved from paper-based credit files to soft copy credit applications/files. This is already improving time efficiencies, and ensuring all data is stored safely, and easily retrieved when needed.
  • Data cleanse was conducted on all customers of all files along with notification provided to customers not previously registered with PPSR. Lodgements of 3000 customers not previously lodged with PPSR.
  • Part of data cleanse was to update the system with ABN/ ACN and PPSR numbers. Enabling easier management of the customer database. It has also prepared our data for parent child accounts to be set up in the future.
  • Rewrote the Credit policy to be a more prescriptive policy and enable staff to interpret the policy through the use of clearly defined terms.
  • Conducted branch training on policies, processes, while gaining a thorough understanding of how each branch conducts business and processes.
  • Successfully moved the credit team away from paper based processes to online and soft copy formats.

Central Credit Manager

Purpose: This role was a newly created role created to manage the centralized tasks within the O2C process of our business. This involves managing and motivating teams to collect on a ledger worth $90 - $100 Mil per month as well as manage other teams that form part of the O2C process. Working with key stakeholders this role required me to improve inefficient processes and standardize where required while continuing to reduce risk and working with sales teams.

Primary Responsibilities:

  • Managing 10 immediate reports Crredit, End of Day, Transactional) and 4 indirect reports (Major Accounts, Legal, Treasury), along with the management of an overseas team of 6 staff members in Manila.
  • Manage the Accounts Receivable and Credit Function of over 4000 active accounts. This includes the Humes Business of approx $47Mil per month and Major accounts covering Holcim and Humes worth $60 Mil monthly.
  • I also manage the End of Day team. This was created to focus on rectifying errors within invoices prior to invoicing. Error rates have dropped from approx. 20,000 per month and are now down to 15,000 per month. We continue to work with all levels of the business to try to reduce these errors and attempt to improve the invoicing process.
  • Part of the role also includes managing the legal accounts for all parts of the business, Humes, Holcim, Excel Concrete and Broadway and Frame.
  • This role also included managing the relationship and process issues for the overseas teams that process our transactional work and assess our credit applications for both Australia and New Zealand. This work was previously under my management and has been transitioned to our shared services team overseas. Therefore, there is a lot more training and changes to process and workflow that need to occur in this space. All of which I need to help manage.

Credit Manager

Purpose: This role is varied and involves managing and motivating teams to collect on a ledger worth $90 - $100 Mil per month. It involved educating staff members, and reworking credit processes as well as centralizing several credit functions to Brisbane.


Primary Responsibilities:

  • This role includes management of the credit function across a few of our businesses including credit management of 3 staff for Holcim Australia QLD region, Humes Nationally and Excel Concrete. This ledger includes 6000 accounts, 4000 active at any time. Plus the management of 2 staff in the transactional team for AUS and NZ. A further 5 staff under the End of Day Team for all of AUS. In addition, a further 2 indirect reports Risk Controller and Major Accounts officer indirectly reported to me.
  • Building rapport with all GM’s, CFO’s, Cell managers, Account managers, customers etc, is essential with working together with sales and customers to reach targets and improve cash flow.
  • Duties also include customer application assessment, recommendations to all levels of business, managing legal matters, lodging PPSR on customers for standard credit applications as well as for mobile plants and equipment for larger projects.
  • Improved reporting capabilities through utilizing the system to its full potential. This included working with other departments within the business to improve reporting to ensure reports are of value to the business.
  • End of month reporting for my regions. I am also the person who steps into the National Credit Managers role for when she is unavailable. This includes senior management national reports, meetings, and all tasks that she needs completed.
  • I initiated a large portion of the required changes to the processes nationally. I have not only devised a new more efficient process but have utilized my teams to trial all process changes to test the end results, prior to rolling out the change to the rest of the nation.
  • Projects I have worked on include, new phone system, online bank sheet, NZ roll out project, Online credit applications, new terms for credit applications, PPSR roll out, Banking Centralization, moved the transactional work to Manila. Auto allocation of cash sales throughout the business.


My role included a lot of tasks that I am responsible for and cannot all be listed on this resume. I was the National Credit Managers 2nd in charge and therefore was across all aspects of the credit and accounts receivable function.


Achievements:

  • Reaching collection targets in all regions each month. Averaging anywhere from 93% over 100% of target.
  • Improved the overall relationship with the sales teams that work with myself and my team. To the point that I am respected within our business for my abilities to work with all parts of the business and still achieve results.
  • Dropped 60 / 90 day results well under the required 5% of ledger value.
  • May DSO results for my regions, Concrete – 45.1 Days, Aggregate – 38.9, Humes - 46.2.

Credit Manager

Purpose: Reporting to the Finance Director, this role required more people training and management than I had experienced previously. Educating staff members and reworking credit policies and procedures gradually. With a very strong internal culture, this business required a lot of time and effort to approve change and for staff members to accept the change that is taking place.


Primary Responsibilities:

  • Managing 3 immediate reports and 12 indirect reports across NSW, WA and QLD I managed the Accounts Receivable and Credit Function of over 5,000 active accounts.
  • Responsibilities include improving credit policies, procedures, terms and conditions, credit applications, fee agreements and other much needed documentation.
  • Found a suitable fit and best practice for the new credit policy, and processes to be rolled into the business. It was necessary to blend in with current practices without the need for a complete re-education of the sales and admin staff.
  • Improved and simplified the account application.
  • Worked through the old debts through collection, referral to debt collectors or in cases recommending a debt for write off.
  • Improved reporting capabilities through utilizing the system to its full potential. This included data cleansing.
  • External debt collector added to the process.
  • Formulated an education process for the credit team members, to continually improve their level of knowledge and understanding.


Achievements:

  • $3.8 Mil Decrease in 120-day accounts in my time with this business.
  • Gradual steps to make Credit a priority for offices, along with some one-on-one training and advice, has led to a gradual improvement of collection results. This business has a culture of not collecting until after 75 days and in turn we saw numerous accounts roll into 90 days. We have now shifted the culture to start chasing as soon as it falls overdue, and earlier in some cases. the results were noticeably visible.

Client Financial Manager (Credit Manager)

Purpose: Reporting to the Finance Director, this role involved working closely with all levels of the business including Senior management, Sales and clients. Managing 7 immediate reports across Australia and New Zealand I managed the Accounts Receivable and Credit Function of over 12,000 accounts in Australia and a further 3,000 in New Zealand. Further responsibilities include educating customers on a one on one level to help them build a stronger business and improve their ability to pay us within the agreed terms.


Primary Responsibilities:

  • Reworked the credit applications for both AUS and NZ. This includes new terms and Conditions for the back of the invoices. Both AUS and NZ versions have been rolled out successfully with a Credit application guide for Sales Representatives.
  • Introduced electronic credit applications to be used on site by the account managers on their iPad. Improved the quality and speed to which information was received.
  • Introduced new collection procedures, which included updated reminder and demand letters, as well as referring debts to external Collectors for all Legal accounts. This dropped the legal accounts by approx $99k in AUS alone over the first six months of applying the new procedures.
  • Re wrote the credit policy for AUS and NZ and added in the Personal Property Securities Reform (PPSR).
  • Improved the reporting tools. Enabled quick, easy access for all staff.
  • 90% of the Data cleanse had been completed at the time of me leaving and 90% ready for PPS go live date in October 2011.
  • Educated the credit team and in turn, the sales and senior management team, as to the PPS legislative changes and how they affect our business.
  • Worked with the bank and the IT department to implement direct debit for our customers.
  • Introduced credit card surcharges including an automatic process within the computer system to make this happen..
  • Improved the system to speed up processing of banking, credit card surcharge process and improved the order releasing process.
  • Invoices and statements have been redesigned to be easy to understand.
  • Procedures completed and rolled out to the team.
  • Acquisition of two of our distributors has also meant that my team has also had to merge three databases of clientele. In doing so we have had to obtain new credit applications for over 4000 new customers (95% complete upon my departure). This acquisition also meant that my team had to train both customers and new Sales reps, along with other new staff members to the policies ghd.
  • Implemented new KPI’s and Targets for the credit team, also a small monthly incentive for team members.
  • Re wrote job descriptions for all staff in the credit department.

Achievements:

  • Over the first 8 months since being in this business the ANZ DSO has been averaging 42 days or less. Previously 50 to 55 days. This then increased due to terms changing to 60 days.
  • Drop in Legal Figures by a total of $99k in AUS over the first 6 months of my employment.
  • Fully functioning credit process in place at the time of my departure including fully trained Credit, and Sales Staff on the credit functionality. None of this was in place at the time of my arrival.
  • Data cleanse and the collection and processing of new credit applications for new and existing customer that had never previously provided us with the information that we really required. System ready for PPS upload within the required time frame.

Personal Achievements: Progression from Credit Controller to Credit Controller and A/R Supervisor. Achievements have been varied.

  • Created the credit policy and implemented this throughout Australia and New Zealand. Due to numerous company acquisitions this is constantly reworked, and training provided to maintain this policy throughout the business.
  • Created Write off forms and other forms required for authorization along with template letters which are easily accessible by all employees using the intranet.
