SPONSORSHIP –
Assist the Sponsorship Manager with Identifying and developing of sponsorship products
- Provide input into business development strategy.
- Assist in developing plans to build participation.
- Assist the Sponsorship Manager with Identifying and development of sponsorship products.
- Liaise with relevant teams to identify and develop sponsorship products prior to sales.
- Assist with preparation of Sponsorship contracts.
Sales Promotional and Sales Material
- Liaise with relevant departments to ensure timeframes are advised and met for production of material.
Sponsorship Sales and Execution
- Coordinate delivery of sponsorship products.
- Manage delivery of sponsorship benefits in collaboration with Sales Operations.
- Management of Sponsorship accounts.
- Respond to any sales enquiries received via phone, email, or website.
- Advise customers of any changes to their deliverables/benefits.
- Collection and filing of Sponsorship contracts, invoices, and payment.
- Represent organisation at networking events and business meetings.
Manage Sponsorship Online Portal
- Manage Sponsors Online Portal requirements and customer enquiries.
- Manage improvements and updates of Sponsorship portal in preparation for each event.
- Prepare event specific details, due dates, and any other relevant information.
- Manage Sponsorship Badge and Invitation registrations and distribution.
- Support Sponsorship enquiries, changes, updates, and errors
- Assist distribution of event tickets, car passes and Sponsorship badges.
- Assist with requests and payment for additional badging/ticket purchases.
Sponsorship benefits.
- Liaise with other departments relevant to the execution of sponsorship benefits.
- Follow up with departments and person/s responsible for actioning tasks relating to sponsorship benefits, and ensuring they are progressing to meet deadlines.
- Ensuring benefits are executed at event.
Assist with Sponsorship Contra Deals
- Ensure procedures and details are correct.
- Liaise with Sponsors for participation requirements.
Coordinate Sponsorship invoicing.
- Liaise with Accounts to raise customer invoices.
- Distribute invoices to customers.
- Coordinate reminders to customers with outstanding invoices.
- Escalate non-paid invoices to Head of Sales.
INTERNATIONAL AND DOMESTIC TRADE SHOW AND CONFERENCE ATTENDANCE -
- Pre-arrange appointments with potential exhibitors and Sponsors if possible.
- Assist with the Planning and preparation of promotional materials.
- Exhibition stand preparations including liaising with event organisers to secure stand space.
- Understand objectives and requirements for each event.
- Secure participation contract and submit invoices to finance for payment.
- Plan event with attention to budget and time constraints.
- Liaise with Stand Builders
- Work within a given budget and approve Stand Designs.
- Liaise with Marketing and Communications team to organise artwork and graphics.
- Coordinate additional functions held in conjunction with the event.
- Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost.
- Negotiate with vendors to achieve the most favourable terms.
- Manage all event operations.
- Perform final checks at the day of the event to ensure everything meets standards.
- Manage record keeping of Tax Invoices, contracts, contras.
- Manage post event participation De-brief notes.
