  • Maintain and monitoring customer’s service. Manage complaints and rectify issues to complete satisfaction, refers to management when appropriate. Determine needs of visitors and provide information or solutions. Screens and verifies visitors for identification credentials and purpose of visit to maintain security of personnel and office environment.
  • Answer incoming telephone calls and/or answer queries from customers in a timely fashion, transfer to appropriate area, take messages. Managed more than 100 incoming calls per day during term time. Coordinate and communicates with 20 - 30 visitors daily during term time.
  • Learn and implement effective communication skills and scripts for to manage customer service and media inquiries. Take enquiries from walk in to gather pertinent information and direct verified documentations to management appropriately.
  • Responds to inquiries and conference room requests made online, by phone or email. Schedule meetings and meeting rooms for teachers, directors, and other colleagues. Train and answer enquiries from colleagues on Synergetic, Office or mystpauls to assist with Staff's technological questions.
  • Perform allocated administrative tasks as directed by various Directors. Perform data entry to the school calendar, i.e., Conference bookings and Uniform Shop appointments; and other administrative tasks as required from the EA to the Principal. Attention to detail and high-level organisational ability. Commitment to continuous organisational improvement. Deliver key administrative support to co-workers, taking on additional tasks during peak times.
  • Very high-level confidentiality. Initiative and judgment in complex, confidential situations. Ability to communicate effectively to the members of the school community with positivity and capacity to effectively communicate the school’s mission and vision.
  • Obtain and maintain First Aid Qualifications. Render Basic First Aid to students and staff. Patience, care, compassion, and discernment as needed. Review safety, health and sanitation processes throughout areas and enforced rules to promote security and safety.
  • Enter data and reports into school database from Enrolments, Medical Maintenance and Co-Curricular.
  • Ordering and maintaining stock office supplies. Oversees office inventory by restocking supplies and submitting purchase orders.
  • Maintenance of petty cash and EFTPOS cash entry. Maintain financial records to verify timely clearance of credit and debit activities.
  • Ability to prioritise duties and meet deadlines and achieve goals within a complex and multi-focused office environment.
  • Sort incoming mail and direct to correct personnel each day. Prepare packages for shipment by generating packing slips and setting up courier deliveries. Signs for packages, recorded deliveries and distributes to personnel.
