Administration Support
• Provides full administrative support to the unit’s management and staff
• Ensures that site equipment and consumable supplies are maintained, e.g. requisitioning of
supplies
• Monitors requisitions against orders and goods/services received
• Ensures that office equipment is operational and facilitates repairs and maintenance as necessary
• Administers an effective file storage and retrieval system
• Ensures unit’s premises are operational and maintained
• Contributes ideas for and assists in developing and implementing improved administrative
systems and procedures
• Prepares correspondence as requested by Managers
• Provides reception service and is first point of contact for internal/external enquiries
• Confidentiality of documentation and information is maintained
Finance
• Manages asset register including audits, transfers and disposals
• Manages vehicle disposals and transfers
• Prepares FBT returns quarterly
Human Resource Support
• Ensures personal files are established and maintained to Ministry standards
• Actively contributes to Services Health and Safety management.
• Provided statistical information to Manager and respond to staff enquiries
• Greet students in a professional, warm and welcoming manner
• Money Handling - Students Registration
• Data Entry - Microsoft Excel and Word
• Ensuring accuracy and attention to detail when putting together students notes, results, assignments/exams
• Reception Duties – Answering phones, passing on messages etc.
• Updating Student Grade files at the end of each block/term.
• Photocopying, typing of notes.
• Working as part of a team or independently, being able to react quickly and effectively when dealing with challenging situations under pressure
• Communicating with key staff effectively at all levels – Founder of the School to the youngest of the faculty.
• Organised catering for school functions e.g., Banquet, School Fundraisers & Post Graduation Lunch or Dinner.
• Dealt with students on a day to day basis in regard to School late Fees, overdue fees and late assignments.
• Set up and running of the School kitchen for breaks.
• Create a system to help me keep all student files up to date, and to make sure that all Teachers hand in
Grade-sheets at the end of each block/term.
• Data Entry- (must at least be able to type 55words per minute upon applying for this job)
• Lifting Bags – Closing off Bags – (Courier Bags, to end shift for the drivers to load their vehicles)
• Knowledge of Word & Excel – (Check addresses and suburbs)
