• Interpreting and processing staff entitlements (MPA), claims, and monthly payments of UNHCR service providers in Cloud ERP.
• Facilitating various official missions and administrative formalities related to travel arrangements, flight, and hotel reservations for UNHCR staff and UNHCR guests.
• Assisting the supervisor in providing resources (human, material, and services) necessary to support the day-to-day activities of the office staff.
• Acting as backup to perform any other related administrative duties in the absence of the Senior Administrative Associate.

• Reporting Daily Media Situation reports covering KRG and Kirkuk & Mosul which assist the security situation over these areas.
• Preparing Monthly SITRP Reports on Safety and Security situations/ incidences in KRG and other Safety & Security reports.
• Preparing and Translating Official UNHCR letters and documents from/to English and Kurdish.
• Obtaining visas to UNHCR IPs and Laissez-Passer holders SMs while on a mission to Iraq and extending their residency in coordination with the General Directorate of Passport and Residency.
• Submitting MSCRs for National SMs beyond the 25 KM range.
• Maintain relations and cooperation with local law enforcement agencies & civil authorities and other relevant agencies to remain current on all security issues and developments in the area.
• Maintaining files on all security-related issues and ensuring that they are up to date. These files would include:
- All Mission request forms, Mission Plans, Escort Requests, MSCRs, Premsec, update mission charts and ISCs,
- All security-related directives and memoranda like advisories and alerts.
- An up-to-date copy of the applicable Minimum Operating Standards (MOSS) for the Duty Station along with the SOPs.
- The Warden Plan.
- List of staff members, including residential address (with sketch map), out-of-hours contact telephone, mobile telephone, and contact details for a relative or other people outside the duty station to be informed in an emergency.
• Minutes of security-related meetings, including the routine (at least monthly) meetings of the Security Management Team (SMT).
• Record of security and safety-related incidents involving staff members.
• Record of security equipment and devices.
• Standby for 24/7 days for any emergency situations.
• Any other duties required by the Head of UNHCR Office or other UNHCR Erbil sections.
