Act as a point of contact for the CEO with internal and external stakeholders.
Prepare correspondence and communications under the direction of the CEO.
Manage the diary and provide executive support to the CEO (and Management Team as required).
Booking travel, accommodation and logistics for the CEO and Board of Directors.
Support the CEO to fulfill stakeholder management responsibilities.
Support the CEO to manage workflow on a day-to-day basis.
Secretariat responsibilities for Board, Committee and other meetings to highest professional standard. Includes management of agenda, distribution of information packs, minutes and other-related tasks.
Provision of complex correspondence or reports as required.
Coordinate administrative functions of the business including file management (archiving, storage and records). This includes all personnel files and records, Policies & Procedures, Board and Committee documents. It also includes managing file structures and staff access.
Complete an annual review and audit of HR files and documentation.
Providing support when required to the set-up of meetings and operations of the head office.
Providing back-up for reception and when required answering VSC telephones and direct queries to the relevant staff member.
Other office administration duties as required.
Responsible for the management of IT equipment, procurement and maintenance.
Support Finance Manager with IT contracts, suppliers and VSC’s requirements.
Liaison with Secure Access on delivery of their services and issues management.
Maintain professional standards, relationships with colleagues and the reputation of the organisation.
Perform the duties of your position in accordance with the Board’s Delegations of Authority relating to Financial, Administrative, Human Resource Management, Workplace Health & Safety (WH&S) and Environmental Management responsibilities.
