Production Coordinator and Graphic Designer

PRODUCTION COORDINATION RESPONSIBILITES

  • Prepare print ready files and cut ready files
  • Crosscheck information on job sheets with quotes and original information collected from customer to ensure errors do not occur in print or production.
  • Use ONYX RIP, ONYX Media Manager and ONYX Production House to my level of skill to process all print jobs
  • Use Summa Winplot and Flexi sign to my level of skill to cut all OPOS prints and vinyl jobs.
  • Operate HP Latex 265 Printer and HP Latex 365 Printer (including load heavy 50 metre rolls into the machine)
  • Operate Summa D160R Vinyl Plotter
  • Undertake regular cleaning and maintenance tasks to my level of skill on the above machines to ensure optimal cutting pressure, operation of the machines and print quality, including changing the blade in the plotter and calibrating OPOS sensor, knife pressure and knife offset.
  • Identify print quality issues and use critical thinking to solve the problem, while operating considerable discretion.
  • Perform regular colour calibration operations on the Latex 365
  • Change inks and printheads (including manually cleaning when necessary)
  • Build custom print environment/Print profiles for a wide range of materials
  • Understand all inventory codes for self-adhesive vinyl, substrates, products, machine disposables, production staff tools, including loading these into the backend of the corebridge POS system alongside quick products for efficiency when creating PO's to order materials in a timely manner.
  • Order all inventory plus outsourced print jobs/products. Keep a running record of all vendors, contacts at each vendor and have knowledge of what products each vendor stocks and where to order from.
  • Perform regular stocktakes to ensure inventory is up to date to reach deadlines, whilst taking delivery times into consideration and upcoming large print jobs that may use the new stock almost immediately, and ensuring backorder is completed to not run out of material.
  • Monitor and record the meterage left on media rolls after print jobs are complete to effectively manage stock levels.
  • Created workflow systems and scheudling systems using conditional formatting inside Google sheets to colour code slots with different production stages.
  • Book install jobs
  • Schedule in-house tasks and coordinate the in-house workload with the production staff/signwriters/installers to ensure jobs are ready on time at least a day or more prior to installation.
  • Occasionally assist with table work/weeding of vinyls/applying application tape (I have a growth mindset to learn the application of vehicle wrapping and applying large boards in roll-to-roll laminators and also lamination itself. I have some knowledge of how this works after assisting staff with table work and installations over the years. This includes knowledge of how vehicle wrap is installed, heated and stretched).
  • Make on the fly edits and markups of job sheets should details change suddenly to ensure production staff have the correct information at all times.
  • Ability to work independently and as part of a team but I perform all my daily tasks autonomously without direction (operating considerable discretion) with a highly skilled understanding of my role and responsibilities. Including often working alone in the shop whilst sales team is on the road and production staff are out installing.

GRAPHIC DESIGN RESPONSIBILITES

  • Worked with clients to gather and define requirements, establish scopes and manage project milestones.
  • Developed creative high quality designs using Adobe Illustrator, Photoshop and Indesign for all forms of signage products (including large format billboards, vehicle wraps to correct scale for print, corflute signs, banners, flags, ACP signage, building signage, illuminated signage, 3D signage, acrylic signage etc.)
  • Created designs with a forward-thinking approach of how they will be printed, manufactured and installed to obtain maximum visibility and effective signage solutions.
  • Approach graphic design with a signage and print mindset to minimise or eliminate errors or the need to reprint for cost saving and sticking to the meterage quoted, upselling the product to look better upon manufacture (i.e CNC Router cut custom shapes).
  • Managed design conceptualisation, milestones and customer feedback.
  • Adhere to client brand guidelines strictly when necessary
  • Applied knowledge of production to create high-quality press ready designs.
  • Developed the artwork proofing systems/sheets and continue to fine tune and use them to prepare proof sheets for artwork approvals and consolidate information provided by the sales team to ensure accuracy when the job sheet is handed over to the production staff. Monitor for discrepancies in the information provided to ensure mistakes are not made or interpreted by production staff.
  • Make adjustments to clients requests in a timely manner to prioritise production deadlines; this includes outsourced products being priortised to consider the timeframe of a 3rd party manufacturer and delivery for customer collection of products.
  • Actively listened to customers, handled concerns quickly and escalated major issues to supervisor.
  • Work with other graphic designers to teach them our systems, products and procedures so they can expand their knowledge of inventory and correctly fill out the proof sheets when doing their own designs.
  • Conoordinate the design workload and customer briefs amongst other designers to divide the work amongst the team to reach deadlines effectively.

ADMINISTRATIVE RESPONSIBILITIES

  • Prepare and send quotes to customers without approval from management, whilst determining product/parts costs and calculating the markup to ensure we do not operate at a loss.
  • Replying to emails in a timely manner
  • Effective communication with customers on the status of their jobs
  • Regular follow ups with clients for design approvals
  • Operation of EFTPOS machine for automatic and manual payments, including taking payments over the phone
  • Purchasing of products with high levels of trust using company credit cards to order outsourced products, and pay on time so delivery is not delayed.
  • Setup the accounts of the corebridge POS system for all users and adjust their settings for required levels of access to company information.
  • Setup of all parts in the backend of the POS system, calculating media rolls/material square meterage and undertaking testing to ensure accurate calculation so the sales team can quote quickly and easily.
  • Keeping prices updated as much as possible, and paying attention to price rises within the industry and adjusting product pricing accordingly when quoting and for products in the POS system.
  • Answering phone calls, booking site inspections for sales team, discussing jobs and requirements with clients over the phone and instructing them on the process required for their job and the next steps.
  • Coordinating with management and sales to book inspections or meet with clients on site.
  • Occasionally drive to sites to assist installers or measure up for quoting.
  • Developed and continue to fine tune the quote sheets for filling out information prior to quoting.
  • Assist the managers and sales team in understanding certain processes/materials so they can quote accurately and ensure we do not operate at a loss.
