· Coordinated the Covid-19 vaccine rollout for Primary Care for approximately 400 practices, liaising with both General Practice and Department of Health.

· Coordinated the distribution of Personal Protective Equipment from the National Stockpile to all primary care facilities within the North Western Melbourne region. Utilized Survey Monkey to collate the requests and contracted Zoom Couriers for deliveries, prior to the Department of Health managing distribution nationally.

· Triaged email inboxes and diaries of both the Director and Manager of Primary Health Care Improvement and the generic inbox of the Primary Care team.

· Minuted and presented at the fortnightly Covid-19 Watch and Act meeting, where all Covid-19 related items in the organisation were discussed from each team; Communications, General Practice, Data, Vaccinations, Aged Care and Vulnerable Populations.

· Closely assisted other projects such as the 'Maximising Cancer Screen Participation' pilot which was successful enough to be extended to become a state lead project and more recently the implementation of 'Priority Primary Care Centres' to alleviate overload at hospitals.

· Assisted and attended the third annual Perioperative Patient Blood Management Symposium. This involved decision making in meetings with the RBWH Senior Events Coordinator, RBWH Foundation and Metro North Design team in organising and designing the program and documents for the day. Was the first point of contact for local, national and international speakers and sponsors to support the programming of the event.

· In collaboration with the Anaesthetics EA, developed the process manual for the position and constantly reviewed and updated the live version.

· Using the online ANZCA Training Portfolio platform, entered the Registrar's training into a volume of practice database. This ensures the Registrar Roster Coordinator rosters them appropriately to obtain their Volume of Practice and college requirements to graduate to the next level of their careers after they pass their exams.

· Maintained the Mandatory Training Register (MTR) for the Department of Anaesthetics and encourage compliance of all staff especially leading up to the RBWH and ANZCA accreditation and keeping within Workplace Health and Safety guidelines.

· Ensured the Duty Anaesthetist was updated with all daily modifications made to the roster to certify there was an Anaesthetist for each list to alleviate theatre lists and patients being cancelled. This assists the RBWH meeting organisation goals of decreased same day theatre cancellations. The roster changes are then amended in Rostering of Shifts and Scheduling (ROSS) system. This data is crucial to possible recruitment if noticeable patterns appear of theatre lists being cancelled due to lack of available staff to meet service needs

· ROSS is a rostering database I used daily to enter all types of Registrar leave which helps manifest the departmental roster each week and which lists they will be working on. 100% data accuracy is required to ensure staffing levels meet National Elective Surgery Targets (NEST).

· For each fortnightly pay period, generated a plotted roster to send to payroll ahead of deadlines. This process involves crosschecking the Registrar's rotation template created by the Anaesthetic Registrar Roster Coordinator against the approved leave, ensuring each registrar meets their required rostered hours to meet medical awards and HR requirements.

· There are four terms per year in which the Registrar's rotate amongst other Queensland Health Hospitals. I liaised with the registrars prior to their arrival at the RBWH enabling a smooth orientation and help send them off to their next location at the end of the term. I certified these updates with Payroll so staff are paid correctly and on time as well as Switchboard Services so the right staff member can be connected in an emergent situation.

· At the beginning of June 2016 and 2017 I started the recruitment and interview process for the following years Senior Registrars which includes contacting the applicants, obtaining referee reports from their nominated referees, organising relevant documents, booking meeting rooms suitable for the interview panel and coordinating the timing of the 26 interviews for that day.

· Designed a new modern and easy to read template for the weekly newsletter email that is distributed to the department each Friday, which I collated each week from staff emails so that the information is disseminated efficiently to the department.

· Worked one on one with the Director of the Anaesthetics Department to plan and coordinate the ‘Inaugural Perioperative Patient Blood Management Symposium. Helped with decision making in meetings with the RBWH Senior Events Coordinator, RBWH Foundation and Metro North Design team in organising and designing the program and documents for the day. Was the first point of contact for local, national and international speakers and sponsors to support the programming of the event. With 200 registrations, the day was a great success and the processes implemented have made for seamless organising for the 2018 symposium and in following years.

· As I have a keen and willing eye for all things design, a lot of the ad hoc jobs brought my way were finessing, tabling and creating different documents for department members that were then distributed throughout.

· Greeted incoming external stakeholders and patients professionally and provided friendly, knowledgeable assistance and responded to inquiries from callers seeking information.

· Daily use of Queensland Health systems including; HBCIS (Hospital Based Corporate Information System), ieMR (Integrated Electronic Medical Records) and AARK (Automated Anaesthetic Record Keeping) to accurately enter patient data for patient safety along with a strong use of Microsoft Word, Microsoft Excel and Microsoft PowerPoint.

· Minuted up to four meetings per month including; Anaesthetic Technicians, Business, Pharmacy Group, Obstetrics and Gynaecology meetings; tabling required documents in the lead up and distributing confirmed minutes in a timely fashion.

· Took the initiative to redesign all departmental Agenda and Minutes templates keeping in line with the Metro North Templates to maintain a consistent visual identity across MNHHS facilities

· Completed daily Acute Pain Management System data entry, using HBCIS and Microsoft Excel. This is imperative to patient care to ensure patients are reviewed by the acute pain team post-operatively. Once a patient is discharged, I would generate an audit number using the Microsoft Access APMS database for safety and quality.

· Entered patient and doctors details to generate DB2 forms for Private Practice Medical Agency (PPMA).

· Collated billing from Gastroenterology, Theatre Lists and APMS rounds, distributed to eligible doctors to enter item numbers and then sent to PPMA for processing. This increases revenue for the department as well as the RBWH hospital.

· Organised Healthcare Company Representatives in advance to sponsor the weekly Continual Medical Education (CME) meetings. I take pride in my positive people skills and I feel this was proven after receiving a compliment that was passed through the Director, that my interaction with sponsors from outside the hospital was ‘excellent, very friendly and impressive'

· Using HBCIS I would check the Anaesthetic Alerts for each patient prior to their surgery and passed them on to the relevant Anaesthetist to ensure the correct treatment and patient care.

· Trained relief administration officers to sit in position to cover annual leave.

· Edited and updated Desktop Process Manual and implementing developed processes.

Executive Support Officer

· My job consisted of screening all incoming phone calls, emails and paperwork, monitoring and recording outgoing correspondence and initiating any action according to priorities established by the Directors.

· Sourced agency nurses once request-to-fills were received and approved by the Nursing Director of that Unit. In turn I also had to organise on-site or off-site accommodation for each agency nurse

· Processed all HR forms for example Leave Applications, Employee Movement Forms and Workplace Health and Safety Reports, daily.

· Worked autonomously and maintained a high volume workload and prioritised work to ensure all tasks were completed and deadlines met.

· The main component of the Executive Support Officer role, was diary management. This involved arranging meeting appointments for, and with, the Deputy Director of Medical Services (DDMS) or the Nursing Directors at their request or other stake holders wanting to arrange a time to speak with them using Microsoft Outlook and coordinate relevant documents.

· Screened visitors and incoming telephone calls and acted as an intermediary between the Directors and others to avoid unnecessary interruptions and to ensure issues not requiring involvement by the Directors are referred to appropriate areas within the organisation.

· Brought priority documents to their attention that needed signing as required throughout the day.

· Required to table agenda items from call out emails and organise meeting documents prior, in a timely fashion, along with forwarding all appropriate payroll documents to corresponding areas within the hospital.

· Setting up videoconferences and booking meeting rooms, along with minuting meetings was a regular requirement for this role and distributing the minutes to the committee members.

· Being in the Executive Offices, I also worked closely with the Executive Director of Nursing & Midwifery and became of assistance to the Chief of Operations Officer due to the restructure of Administration Officers at the time. I worked well autonomously looking after all three executives in a professional manner and received a lovely comment from the EDON at the end of my time there.

Junior Medical Workforce Officer

· It was in this role that I first gained knowledge of AHPRA and checking the AHPRA website for updated registrations and occasionally provider numbers for the relevant doctors starting at the Bundaberg Base Hospital.

· Managed the transition of the department from paper to electronically stored documents. This required scanning a large volume of confidential medical contracts then creating and maintaining an orderly electronic filing system that was easy to navigate for department staff

· Experience in the medical recruitment process led to my familiarisation with employment requirements of the organisation and QLD Health for example credentialing doctors prior to their commencement of work.

· Processed “457 temporary visa nominations” and compiled the correct documents to be approved by Directors and Human Resources.

Ward Clerk

· The main role of the Administration staff in the Department of Emergency Medicine is to capture and update patient details using HBCIS in triage and fast track; requesting patient charts, printing appropriate labels and notifying medical staff of any alerts or allergies in an environment where patients and their immediate family/friends are stressed, occasionally under pressure depending on what category of emergency the patient was and how busy the waiting room was.

· Admitting patients under the correct doctor, in the correct ward is imperative, in which I was occasionally under pressure if the patient was being transferred at the same time administration were notified they were being admitted.

This assisted patient flow and meeting NEAT targets.

· Participated in the 24 hours roster with 7am, 3pm or 11pm shift starts. I enjoyed this role as it was different every day and mostly a fast paced environment. I felt comfortable and was successful in this role due to my customer service background prior to Queensland Health.
