As the, , I provide high level support to the Executive Director, Managers and branch staff through coordination of executive correspondence from the Minister and Director-General’s office including deadline management, quality assurance of briefing materials; Estimates briefs preparation and quality assurance; financial and administration management including budget oversight and reporting, establishment management, advice on policies, procedures, processes and compliance; chairing and participating in recruitment panels including preparation of reports and appointment recommendations; staff supervision and coaching; coordination of departmental lobbyist reporting including collaboration with the Office of the Integrity Commissioner; secretariat support to the departmental Business Continuity Executive Management Team

As part of my development I was afforded an opportunity to support work being undertaken in the Internal Audit Team
I take a keen interest in the work of the Internal Audit team, and appreciation for the importance of their function
I worked closely with the Principal Internal Auditor to undertake an internal audit of the former DSDSATSIP procurement processes for a number of select divisions
This included meeting with key stakeholders to get a greater insight into the procurement practices, current standing offer arrangements and key procurement deliverables/targets; assisting with the development of survey questions for administration and executive staff; assessing samples of procurement activities across a number of divisions and participating and contributing to the outcome meeting with the Director, Internal Audit
Key Achievements:
Identifying a number of practices through assessment of procurement which pose a risk to the department
These risks have now been considered for an upcoming internal audit plan of work
Greater understanding of the procurement process and identifying ways to improve transparency and justification of selecting suppliers, ensuring stringent assessment processes and managing any potential/perceived/actual conflicts of interest

As the Estimates Coordinator, I was responsible for working the Manager, Estimates to prepare and deliver the department’s Estimates 2022 process, including advising and supporting the Minister’s Office on a range of briefs associated with the departments work in relation to reforms to improve the lives of older people, people with disability and Aboriginal and Torres Strait Islander peoples
Key Achievements:
Demonstrated ability to collaborate with all areas of the department to ensure briefs were prepared with accurate information, correct financial information and within timelines
Supported the Manager, Estimates, Office of the Director-General and the Minister’s Office on the day of the Estimates Hearing at Parliament House
This opportunity allowed me to extend my knowledge and gain a greater understanding of the portfolio which opened opportunities build on existing relationships and increase collaboration with colleagues across all three portfolios

As the Finance and Facilities Officer, I was responsible for working closely with the Chief Finance Officer (CFO) to analyse financial expenditure, particularly corporate card, travel and vehicle usage; manage gifts and benefits reporting including publication of data; assisting with the development of an audit approved fraud and risk register; leading and coordinating the annual systems appraisals process for the department; asked to lead work to update the department’s financial practice manual (policies and procedures); attendance and participation in the 1 William Street facilities meeting including drafting communications for departmental staff; managing facilities requests
Key Achievements:
Implemented a process to publish gifts and benefits data on the open data portal (first time it had been published for the department)
Through financial analysis, identified a significant number of corporate card transactions where processes for gifts and benefits weren’t followed which allowed the CFO to brief the Director-General on risk and impacts
Commenced review of all financial policies and procedures to ensure compliance and consistent best practice processes were implemented across the department (note I moved onto the Senior Executive Officer role and was unable to finish this piece of work)

Responsible for working with the Manager, 1WS Transition to relocate staff from Neville Bonner Building to 1WS; work with all areas of the department to identify storage allocations, security access, seating plans; assisting with the rollout out of information sessions; attendance at project meetings with key agencies including Treasury
Key Achievements:
Successfully assisted transitioning over 200 staff to 1WS
Worked collaboratively with key personnel to provide accurate advice around records management
After the Manger’s end of contact, I was asked to continue leading facilities work for the department including departmental representation at management meetings, logging and managing requests with building management and being the key contact for departmental staff

Obtained permanent status in May 2016, Responsible for working with the Senior Project Officer, Human Resources to provide whole of department advice on human resources practices, processes and compliance and establishment management
Key Achievements:
Participated and contributed to the transition of SAP HR to Aurion (over 200 staff records)
Coordinated the creation of mailboxes for all areas of the department to ensure correct distribution of fortnightly confidential workforce reports
Became an iLearn administrator (departments learning management system) including running reports, analysing data and providing advice to Managers and Directors on staff attendance
