Manage and Maintain the administration side of the kindergarten.


  • Main link with the Committee of Management, attend and participate in All Committee meetings and attend and run Annual General Meeting.
  • Conduct all tours( new families or returning) and attend Open Day in February whilst liaise with all families regarding the registration process.
  • Main contact and complete the enrollment process for all new families, group selection and maintaining our records for all immunisations, medical plans and other information is up to date and in line with the Best Start Best Life Reform requirements.
  • Complete Annual Confirmation and maintain the Arrival system for the kindergarten.
  • Head of organisation for CCYP, and main contact for all DET matters, also am another option fo all staff to come to and speak out anything they think they would need to mandate report.
  • Apply and work very closely with Committee to execute any grants we are granted in a Project Manager capacity.
  • Update and Maintain all centre policies and procedures.
  • Help and support staff with KIS applications/School readiness funding.
  • Book and liaise many incursions, photographer Staff training etc
  • Attend all Banyule Council Meetings quarterly, talking about Public land Manager Requests, Leases, Grants and DET updates.
  • Main point of contact with our bookkeeper regarding funding, staff pay, costs etc.
  • Overall whilst maintaining and ensuring a Childsafe Kindergarten.

Maintain and coordinate all administration tasks at WOCC inclusive of the following general tasks:.


  • Completing all Enrolments and maintaining the enrollment files.
  • Ensuring all staff have completed the necessary training required.
  • Completing Running Sheets for each term - ensuring staffing is within the ratio required.
  • Completing the Roster for Each term - for staff/child ratio, this changes each term.
  • Maintain and keep up to date with policies and procedures.
  • Liaise with DET for any licensing changes or reviews.
  • Apply and manage grant applications, ensure the grant is used in the correct manner and complete the grant process.
  • Do all orders for the centre, art and crafts, cleaning products
  • Run and attend all staff/ committee meetings - main liaison with the committee. Help and support all fundraising events.
  • Main contact for Banyule Council, complete all Public Land Manager Consent.


Finance

  • Complete all invoices (via MYOB) for each families for fees and membership each week/term or annually.
  • Ensure all families are up to date on payments and if follow up is required follow up.
  • Maintaining Child Care Subsidy and ensuring we are completing this weekly through Xplor the system we use.
  • Liaising and helping families with the CCS process and ensuring all families can access.
  • Complete on MYOB all the transactions inbound from families and balancing it to their account.
  • Liaise with ABR, Centrelink, Proda and Services Australia.
  • The main contact with our bookkeeper for the staff and committee.

  • Ensure all Poker Machines, TAB, Bistro Excess Cash balanced every night.

  • Ran Members nights draws and special events
  • Completed the Last Post every evening at 6pm.
  • Kept facilities clean, neat, and organized to give areas professional and fresh appeal.
  • Collaborated with team members to improve overall service quality and guest experience.
  • Maintained a clean and safe environment for guests through regular inspection and cleaning tasks.
  • Provided excellent customer service to guests by promptly responding to inquiries and requests.
