Programme Planning and Placement Coordinator

  • Main Purpose of the Position: Future planning and scheduling to create workable timetables for the clinical years of the MBChB degree programme as well as for specific attachments within a particular year eg. Year 4 Procedural Skills, Year 5 UIPC, Year 6 Procedural Skills and ACLS that require work with multiple stakeholders and schedules/timetables.


  • Programme planning and timetabling: Responsible for liaising with relevant university, faculty and school staff to obtain and provide key timetabling information.
  • Survey students for placement choices and manage student preferences and notify allocations to all stakeholders.
  • Responsible for timetabling processes and data in relation to the Timetable Services Office and their processes and deadlines.
  • To collate, interpret and process each course's timetable requirements to be used by Timetable Services Office within given deadlines.
  • Responsible for resolving any problems or issues which may arise through scheduling conflicts with staff/students/courses. Provide guidance to staff and students, and support coordination of timetabling of student activities and ad-hoc events as required for course requirements.
  • Responsible for managing relationships with external providers to facilitate effective scheduling of their activities to meet the programmes requirements and provider availability.


  • Placement Activities: Administer, assist and coordinate student (clinical) placements, practical (clinical if required) examination and assessment activities.
  • Distribution information relating to practical work and internship infrastructure and ensure that placement providers are aware of the programme and legislative requirements.
  • Ensure providers confirm verification for the completion of the practicum and liaise with relevant staff in Schools and sites.
  • Organise the delivery of the programmes by way of placement timetabling.
  • Assist with administrative support for the Boards of Studies and Boards of Examiners; and accreditation process as required.
  • Develop year plans, in advance, for consideration and approval of Board of Studies, taking into account resource constraints, student forecast numbers and clinical sequences.


  • Service Excellence: Work collaboratively toward operational and strategic continuous improvement initiatives at a University level and throughout the faculty.
  • Demonstrate excellent customer service through reliable, efficient and accurate execution of service deliverables.

2005 General Staff Award

The Faculty of Medical and Health Sciences offers awards to general staff to recognise excellence in managerial, administrative and/or technical activities. Up to four awards are available annually, two for sustained excellence and two for special achievement.

FMHS Professional Staff Special Achievement Award 2013

I was nominated as a member of a team and received this award which recognised and rewarded the team for the work on the introduction of the new re-invigorated curriculum for the Medical Programme.

Ian Houston Award for Sustained Excellence 2023

This award acknowledges continuous outstanding effort by an individual or team in the performance of duties over multiple years in support of the faculty’s mission. Awards will be given to nominees who have clearly demonstrated sustained excellent service, and have demonstrated excellence, innovation, partnership, professionalism, equity and integrity. Up to two awards are available in this category annually.

Stuart Glasson Special Achievement Award 2021

This award acknowledges the significant contribution by an individual or team to the faculty’s operations. Nominees should have provided extraordinary service beyond their basic job description, towards a single event, project, innovation or idea that supports the faculty’s mission. The contribution may be to their immediate work unit, department, school or the faculty. Up to two awards are available in this category annually.
