Correspondence workflow - Operations Coordinator, Trade and Investment Queensland
I designed and implemented a local workflow tracking system leveraging the functionality of SharePoint, Outlook and Excel. Work requests are now reviewed with management on a weekly basis to assist with monitoring the progress of submissions and ensure compliance with nominated timeframes. This approach has realised workflow efficiencies including clarification of task responsibilities, accuracy of document tracking and improved response times.
Annual customer satisfaction survey - Senior Consultant, Queensland Shared Services
I was directly involved in the design, administration, collation and analysis of results of the agency client satisfaction survey. Client satisfaction indicators are included in the annual departmental Service Delivery Statement and this critical activity gathered detailed quantitative and qualitative data on client experience. My primary responsibility was the analysis of results and preparation of the final report to executive management. The results informed strategic planning and determined agency priorities and the associated program of work for the following year.
Estimates briefs - Executive Officer, Shared Service Agency
I coordinated the estimates briefing process for the agency. This involved establishing and maintaining an extensive contact network, disseminating templates, researching and reviewing briefs, checking data and references, coordinating submission, and liaising with Queensland Treasury. Agency briefs were submitted within the scheduled timeframe and minimal re-work was required.
Travel management project - Business Support Officer, Australian Federal Police (AFP)
A major project was undertaken to develop and implement a new national travel policy which included the transition of corporate card service providers. I coordinated the project at a regional level in consultation with the National Travel Manager. Responsibilities included the preparation and dissemination of travel policy documents, staff training, and the implementation of new account processing and reporting procedures. I also updated the agency travel policy manual and prepared content for the agency intranet. I utilised my effective communication skills to support this work as it was necessary to liaise with key stakeholders to achieve the most effective and efficient outcome for the agency. This was facilitated by co-coordinating information and training sessions for staff, providing regular feedback to service providers, including the corporate card service provider, airlines and accommodation/conference venues, and organising a teleconference program with regional administrative staff to review and assess the new policy after it was introduced. The new platform was implemented without any significant issues and the new procedures/processes adopted ahead of programmed timeframes.
